Data Retention

This page describes how long BloomBoard keeps the main categories of data, and what happens when you delete something or close your account.
Your business data
Events, clients, proposals, invoices, briefs, and media you upload stay in your account until you delete them or close your account. When you delete your account, all of it is removed from our production systems, and from our backups as those expire (see below).
Client email conversations
- Message content. The full original email is kept for 90 days, after which we keep only the cleaned message text and headers shown in your conversation history.
- Attachments. Kept until the conversation they belong to is deleted, or your account is closed.
- Email connection tokens. The authorisation tokens for a connected Gmail or Microsoft account are deleted immediately when you disconnect the account, and when your account is closed.
- Unmatched mail. Email that reaches a BloomBoard address but cannot be matched to any conversation is held for review for 30 days, then deleted.
Signed documents
Signed proposals and their acceptance records are kept for as long as your account holds the related event, because they are your contractual evidence. Deleting the event removes them.
Operational data
- Backups. Encrypted database backups are retained for 10 days and then expire automatically. Deleted data leaves backups on that schedule.
- Logs. Technical logs used for security and reliability are retained for 30 days and do not contain email message content.
Account deletion
Closing your BloomBoard account removes your business data, conversations, attachments, and connection tokens from production systems promptly, with backup copies expiring on the schedule above. Where law requires us to keep specific records longer, for example tax records, we keep only what the law requires, for as long as it requires.
