For event florists

Event florist softwarefor the work that isn’t a wedding.

BloomBoard is proposal and production software for event florists — corporate events, brand activations, installations, private dinners. One path from the brief to the final invoice: proposals, recipes that roll straight into wholesale orders, week-of plans for install and strike, and finances with your margin visible while you design. Both plans include unlimited events, so a weekly hotel install costs no more than a one-off. It is not a POS.

  • Unlimited events on both plans
  • Install and strike run sheets
  • VAT invoices, sequential numbering
  • 14 days free, no card

The short version

What event florists actually get.

Event work has a different shape to wedding work: the same clients come back, the deadlines are shorter, and the day has two shifts — in and out. This page is about that shape. For the couple’s side of the business, read wedding florist software.

  • Repeat work costs you nothing extra. Both plans include unlimited events, arrangements and proposals, so a weekly hotel changeover is priced the same as a one-off gala.
  • Fast requotes. Proposal templates, a recipe library and Smart Recipe Builder turn a Tuesday brief into a Friday price without starting from a blank page.
  • Install and strike are both planned. Timelines, run sheets, checklists and delivery plans for the week of the event, with freelancers joining through share links.
  • Scale you can cost. Recipes for arches and installations roll stem counts into supplier orders and market lists, with your margin visible while you design.
  • Invoices a finance team will accept. Quotes, deposits, payment schedules and invoices, with automatic VAT and sequential invoice numbering.

Why a separate page

An event isn’t a wedding with a different date on it.

Six things change when the client is a brand, an agency, a venue or a hotel — and each one lands somewhere different in the software. Each heading and paragraph below describes the work. The card beside it says what BloomBoard does about that, and nothing more.

  1. The same client books you four times a year.

A hotel lobby changes every Monday. An agency comes back each quarter with a different brand and the same fortnight’s notice. A restaurant wants the tables reworked for the season. In event work your best client next year is usually one you already have — so the question isn’t how you win the job, it’s how cheaply you can produce the ninth one.

    In BloomBoard

Both plans include unlimited events, arrangements and proposals: the fifty-second install of the year is priced the same as the first. Arrangements you have already built stay in your library as recipes, and proposal templates mean the next quote for a returning client starts from a format you both recognise rather than a blank page.

  2. The brief lands Tuesday. They want a price on Friday.

Corporate briefs arrive short, late and by email — a deck, a venue, a budget range, a date that isn’t moving. Two other studios are quoting the same thing, and the decision happens in a meeting you’re not in. Turnaround is part of the pitch.

    In BloomBoard

Proposal templates and Smart Recipe Builder get a first pass out fast, and margins update live while you design, so you can see what a change does before you send it. A moodboard built in Canva imports straight in. The client gets a web link with no login, signs electronically, and every version is kept if the brief moves. More on proposals.

  3. The install is a logistics job before it’s a floral one.

A 6am load-in through a goods lift with a stated depth. A site visit three weeks earlier where you measured the atrium and asked what the rigging points take. Hire items arriving on someone else’s van. Security lists, dock slots, a building manager who wants everything out of the corridor by eight. None of it is flowers, and all of it decides whether the day works.

    In BloomBoard

Week-of production plans hold the day: timelines, run sheets, checklists and delivery plans, with the detail you and the crew need in front of you rather than in a thread. Freelancers join through share links and see the same run sheets, recipes and delivery plans as you.

It plans the day — it doesn’t rig the ceiling or book the van. BloomBoard holds the plan; the lift, the crew and the hire company are still yours to arrange.

  4. Strike is a second job, often with a different crew.

Teardown is a scheduled shift of its own: 11pm on a Friday, or 7am the morning after, water out, mechanics out, hire items counted back, the venue wanting its floor returned as found. The people on it are frequently not the people who installed — and they arrive with no memory of how it went up.

    In BloomBoard

The same week-of tools work in both directions: a run sheet, timeline and checklist for the way out as much as the way in, and a share link for whoever is on the strike shift. Nobody has to have been there on Tuesday to know what comes down and what goes back.

  5. Installations are stem counts at a scale that punishes guessing.

A four-metre arch, a whole wall, two hundred covers of low tables. At that size the gap between 480 stems and 620 isn’t a rounding error, it is the margin on the job — and you are committing to it at the wholesale order, days before anyone sees it.

    In BloomBoard

Build the installation as a recipe and the stem counts roll up into supplier order sheets and market shopping lists as you go. Bulk import supplier price lists, keep multiple supplier prices with full history against every flower, foliage and hard good, and hold prices in any currency — Dutch auction euros and local wholesale in the same recipe. The margin moves as you build. More on recipes and orders.

  6. You invoice a finance department, not a person.

Agencies and brands pay on invoice, on their rhythm: a purchase-order number quoted back to you, thirty days from receipt, a supplier portal, an accounts contact who has never heard of the event. Some jobs are half up front; plenty are billed on completion. Either way the invoice has to survive a finance team’s checks.

    In BloomBoard

Quotes, deposits, payment schedules and invoices are all in BloomBoard, so a job taken on deposit and a job billed on completion both fit. VAT is automatic, with sequential invoice numbering for VAT-registered studios — the numbering a finance team expects to see.

BloomBoard doesn’t log in to your client’s purchase-order portal or chase their accounts team. It gives you the invoice they’ll accept, on the schedule you agreed.

One event, then the next one

It ends with the strike and the invoice — and then it starts again.

A wedding happens once. An event client comes back next quarter with a new brief and the same deadline — which is why the last step here loops back to the first.

  1. Step 1

    The brief

The email, the deck, the venue and the budget range. Send a client brief for them to fill in — or, on Studio, a public enquiry link on your site — and it lands in your pipeline, not your inbox.

  2. Step 2

    The quote

A template, a recipe or two from the library, and a client web link with no login — signed electronically, versioned if the brief moves.

  3. Step 3

    Flowers ordered

Recipes roll into supplier order sheets and market shopping lists, priced from your own supplier lists, in whatever currency you buy in.

  4. Step 4

    Install

Timelines, run sheets, checklists and delivery plans for the load-in, shared with the crew and any freelancers by link.

  5. Step 5

    Strike

The same plans, in reverse, for the shift that takes it down — even when that crew wasn’t there for the build.

  6. Again

    Next brief, same client

The invoice goes out on the schedule you agreed. The recipes, the template and the run sheet are already there when they come back.

Event florist questions

The ones event florists actually ask.

Is BloomBoard only for wedding florists?

No. BloomBoard is built for wedding and event florists, and it fits brand and corporate events, installations, private dinners and other floral projects with moving parts. The path is the same either way: enquiry, proposal, recipes and wholesale orders, week-of production plans, finances.

Does it work for recurring installations — a weekly hotel or restaurant changeover?

Both plans include unlimited events, arrangements and proposals, so a weekly install costs no more than a one-off. Arrangements you have built once stay in your library as recipes, and proposal templates mean the next quote for a returning client starts from a format you already trust.

Can BloomBoard produce a proper VAT invoice for a corporate client?

Yes. BloomBoard handles quotes, deposits, payment schedules and invoices, with automatic VAT and sequential invoice numbering for VAT-registered studios — the numbering a client's finance team expects. What it does not do is log in to your client's purchase-order portal or chase their accounts team; it gives you the invoice and the schedule you agreed.

Can freelancers see the install and strike plans?

Yes. Week-of production in BloomBoard covers timelines, run sheets, checklists and delivery plans, and freelancers join through share links — so the crew coming in at 6am and the crew striking at midnight are reading the same plan, recipes and delivery details. Core includes 2 team seats and Studio includes 5.

Will it work out the flowers for a large installation?

Build the installation as a recipe and the stem counts roll up into supplier order sheets and market shopping lists as you design. You can bulk import supplier price lists, keep multiple supplier prices with full history against every flower, foliage and hard good, and hold prices in any currency — so Dutch auction euros and local wholesale sit in the same recipe. Margins update live while you design.

Is BloomBoard a till or POS for walk-in orders?

No. BloomBoard is not a POS and is not built for retail daily orders. If most of your day is bouquets over the counter and same-day delivery, use a POS product instead. BloomBoard is for quoted, planned work: events, installations and weddings.
